Use metadata to make documents findable

Document ONE enables you to capture both standard and custom metadata for documents.

What is Metadata ?

Metadata is descriptive data which describes each document (e.g. who wrote it, what type of document it is, its status in the document life-cycle, etc).

Accurate and meaningful metadata can greatly assist your users to find filed documents again at a later date.

Standard Metadata

example of metadata fields in a Document ONE library Whenever you create a document in Document ONE you must enter values in standard metadata fields, such as:

  • Folder
  • Title
  • Date Created
  • etc.

To make it as easy as possible for you to save a new document, Document ONE automatically populates most of the standard metadata fields - you can change these default values if you need to.

Custom Metadata

example of custom metadata entered in a Document ONE libraryCustom metadata enables you to record non-standard information about a document, e.g. information that is relevant only to your particular business unit or organisation. 

You can have up to 20 custom metadata fields in each document library.
