Capture documents, emails - and paper!

Document ONE makes it simple for your users to capture electronic documents, files and emails - and hard copy documents.

Electronic Documents and Files

Capture just about any type of document or file:

  • MS-Office documents (e.g. Word, Excel, Powerpoint, MS Project, Visio, etc)
  • Graphic files (e.g. .jpg, .gif, .png) Documents stored in a Document ONE document
  • Adobe PDF files
  • HTML & XML files
  • Utility files (e.g. WinZip, Notepad, etc.)
  • Source code files
  • Databases (e.g. MS-Access)

Read how you can import documents in bulk.

Emails

Are the important business-related emails in your organisation accessible to all of the staff who need access to them?

Document ONE makes it easy for users of Lotus Notes mail to capture both sent and received emails into document libraries - see capturing emails for more information.

Hard Copy Documents

You can register hard copy documents in Document ONE by creating a new electronic document that contains no content.

In the document profile of the new electronic document you would typically enter details about the hard copy document such as who wrote it, the date on which it was written, a brief summary of what the document is about, etc.

Scanning

If you want to get rid of your hard copy documents altogether, to save storage costs and make it easier and quicker for your users to retrieve the information they need, then you can convert them into electronic format by scanning them.
