System requirements for scanning in Document ONE

The system requirements for scanning into Document ONE include a Document ONE Scanning User licence and access to a scanner.

The Scanning Software

Document ONE's Scanning database has been integrated with the Trapeze Desktop™ scanning software from Onstream Systems. 

Users Responsible for the Physical Scanning Process 

To scan documents into Document ONE's Scanning database, a user must:

  • Have a Document ONE Scanning User licence (see the pricing and licensing pages under how to buy for more details).
  • Use a PC which is physically connected to a scanner (most TWAIN-compatible scanners are supported).
  • Be assigned to the Scanner role within Document ONE's Scanning database.

Note:

  • The Document ONE Scanning User licence includes a copy of the Departmental Scanning edition of Trapeze Desktop, and also the Function Sheet Scanning option of Trapeze Desktop.


Users Responsible for Filing Scanned Documents

Users who are responsible for filing scanned documents into Document ONE libraries must only be assigned to the ScanManager role within Document ONE's Scanning database. 

These users do not need a Document ONE Scanning User licence, unless they also want to physically scan documents into the Scanning database.

If they want to view scanned documents in the Scanning database, they can use the default image viewing software that has been installed on their PC. However you may wish to purchase the Standard Viewer edition of Trapeze Desktop for these users, as it offers several benefits over normal image viewing software, such as the ability to:

  • See thumbnails of multi-page documents (this makes it much easier to quickly move to a specific page in a large document).
  • Print multiple pages via selected Thumbnails.
  • Print selected areas of images.
  • View Annotations.
